From sourcing brief to documented delivery
Use one model and revision throughout quotation, sampling, production, inspection and shipment. Agree the responsibilities at each handover.
| Milestone | Record to review | Decision before moving on |
|---|---|---|
| 1 · Scope and quote | Seller / beneficiary, manufacturer model, variant, spec revision, quantity, currency, Incoterm and named place, expiry | Accept scope and separately identify samples, setup, inspection, freight and recurring fees. |
| 2 · Sample approval | Sample ID, photos/video, measured results, packing review and buyer approval | Approve the same configuration proposed for production; log deviations and retest requirements. |
| 3 · Production release | Signed order and approved specification; payment trigger and planned completion date | Record agreed deposit conditions and any artwork/material changes before release. |
| 4 · Inspection | Lot ID, agency/reviewer, acceptance plan, dated report and disposition | A failed inspection needs an agreed rework/re-inspection or cancellation decision. A report without disposition does not release shipment. |
| 5 · Shipping release | Final packing, balance-payment trigger, inspection release and freight documents | Confirm booker, importer, named destination and what is included in the delivery term. |
| 6 · Delivery and aftercare | Tracking/BOL, receipt date, shortage/damage record and remedy decision | Match received quantities to packing; log claims with model, batch and evidence. |
Changes, delays and failed inspection
A change record should name the requested change, affected model/revision, cost, revised date and both parties’ approval. A delay notice should give the cause, revised milestone and agreed remedy. Cancellation, refund conditions and inspection failures must be written into the order before payment; this page does not impose a blanket deposit or refund policy.
Aftercare terms by product
| Product family | Define covered issues and evaluation | Parts and operating support to agree |
|---|---|---|
| Outdoor furniture / pet furniture | Joints, frame, seams, stability; distinguish manufacturing defects from agreed load/use limits | Feet, fabric, fasteners, repair instructions and replacement freight |
| Lights / rechargeable products | Charging, battery, switches and runtime under recorded conditions | Battery/adapter compatibility, safe handling, parts and transport responsibilities |
| Pet carriers / beds | Zippers, handles, seams, lining and pet fit for the selected size | Replacement inserts/straps, washing instructions; no crash-restraint claim without test evidence |
| Connected pet devices | Offline/power-restoration behavior, sensor faults, safe stops, app/firmware version | US configuration documents, app/cloud ownership, fees, data deletion, update period and spare parts |
Every quotation needs a warranty start, duration, exclusions, DOA reporting window, evidence requirements, response owner, remedy and who pays return or replacement freight. Values remain subject to written agreement; an empty field is an unresolved term.
How a delivery case becomes publishable
We retain project milestones, specification revision, sample approval, inspection, packing and receipt evidence in the private project record. Public case studies require written customer permission and redaction of personal, pricing and shipping details. No completed customer delivery case is claimed until those records exist.
